Here are some of my favorite tools for therapists in private practice and the reasons why. In full disclosure, some of these are affiliate links and I earn commissions from purchases, which helps keep Therapy Marketer free. With that said, I only recommend tools I personally believe in and would never recommend something just for the money.

Heard is the only financial management software built for therapists that enables you to manage your bookkeeping, taxes, and payroll—all in one place. I’m biased because I work for Heard but I wouldn't do so unless I believed in the product, team, and mission to support therapists as business owners.

Jane is a practice management software and EHR designed to be an extra set of helping hands in your therapy business. The reason why I recommend Jane over other options is because they genuinely care about supporting therapists and go the extra mile to build a supportive community.

Headway makes it easy to accept insurance by taking credentialing and billing off your plate. I recommend Headway because it’s free to use and they have high reimbursement rates with guaranteed bi-weekly payments. They also have over 150 hours of free CE courses.

Upheal is an AI progress notes and analytics platform for mental health professionals. There are a bunch of AI progress notes companies out there. I trust Upheal because they take privacy very seriously and have a Head of Clinical Operations who is a therapist.

Kit (formerly ConvertKit) is the email service provider (ESP) I use for Therapy Marketer. I love Kit because they champion creators like me and make it easy to grow my audience through the Creator Network. It’s also reappy simple to set up landing pages and automations.

Mindful Admins is a woman-founded business that only employs admins based in the United States, many of whom are moms or students (or moms who are students). I worked with the founder’s husband at the Gottman Institute who is also the Creative Director for the company.
